Revisiting Lotus 1-2-3: The Spreadsheet That Changed Everything

Introduction

In the early 1980s, spreadsheets were still a nascent idea. VisiCalc had proven the concept and created the market, but it was Lotus 1-2-3 that turned spreadsheets into a business phenomenon. Launched in 1983 by Lotus Development, 1-2-3 combined raw speed, integrated graphing, rudimentary database features and programmable macros into a single, keyboard-driven package that ran well on the IBM PC. The result was an application that not only dominated office automation for a decade but also shaped how people thought about end-user computing.

This article revisits Lotus 1-2-3: what it introduced, why it mattered, and how its ideas echo in modern spreadsheet tools like Microsoft Excel and Google Sheets.

The state of play before Lotus 1-2-3

VisiCalc (late 1970s) is rightly credited with inventing the electronic spreadsheet as a killer app for microcomputers; it showed managers they could replace manual ledgers with interactive, recalculating models. But VisiCalc had limits: it was slow on larger data sets, lacked built-in charting, and offered limited programmability.

When Lotus 1-2-3 arrived in 1983 it addressed many of those shortcomings at once. The darker side: errors, governance and the spreadsheet as code

One of the underappreciated impacts of spreadsheets is their role as an informal programming environment. Studies since the 1990s have documented how spreadsheets frequently contain errors and how these errors can propagate into business decisions (Raymond Panko’s work is a good entry point).

Lotus 1-2-3 helped normalize building complex, mission-critical logic inside spreadsheet files. That democratization was powerful but it also created systemic risks: fragile models, undocumented macros, and difficulty auditing calculations. Addressing these risks has driven features like version control, auditing tools, formula inspection, and safer scripting models in modern spreadsheet platforms.

From Lotus 1-2-3 to cloud-native collaboration

Fast-forward to today and spreadsheets are collaborative, cloud-hosted, often integrated with APIs and other apps. Google Sheets, Excel Online and various BI tools inherit architectural concepts first popularized by desktop products like 1-2-3 (grid model, formulas, charts) while adding real-time collaboration, permissions, and programmatic APIs.

The philosophical throughline is that spreadsheets remain the simplest, most flexible general-purpose business programming environment - which is exactly what Lotus 1-2-3 unlocked for a generation of users.

Why revisit Lotus now?

Revisiting Lotus 1-2-3 is useful not just as nostalgia but as a way to understand how much of our modern productivity stack grew from design decisions made under tight technical constraints. It highlights how software can alter hardware markets, how products can create new job practices (end-user programming), and how early design patterns can persist for decades.

If anything, the 1-2-3 story is a reminder that software that fits into real workflows, is fast and integrated, and exposes useful extensibility will shape broad adoption - but vendors must also evolve interfaces, safety and collaboration paradigms as platforms change.

I have the Lotus Suite from the last floppy disk release to the last 2000 release on CDs. I use Freelance Graphics a lot.

I loved it. It recorded keys to make macros.

Great tool as an accountant.

Excel got too fancy and more cumbersome for me. Old codger stuff.

All of those old DOS programs have a special place in my heart. Now that I’m in my late 50’s, retired, with a long software engineering career, I’ve been sorely tempted to set aside a place in my house for an old-school IBM PC or PC/AT. In the 80’s, we had a 4.77 MHz 8088 PC with 640k RAM. My father bought it for two reasons:

1. He wanted to use it for work. He worked at Boeing and often took his work home (much later on I also worked there, for 15 years as a software engineer — defense-related flight control software).

2. He wanted me to learn how to code and got the BASIC compiler and Turbo Pascal. I had outgrown our TI 99/4-A, writing programs that used every byte of Extended BASIC and he decided the IBM was necessary for my continued learning (he bought the TI because Extended BASIC was the best version of BASIC available, i.e. so I could learn as much as possible about coding).

In 1989, I wrote a suite of programs that instantly made me his hero. They were for Microsoft Word 4.0 for DOS. He had gotten an HP LaserJet II printer and used it often for making documents for work. The problem was that Word only supported a certain set of HP fonts and point sizes that you could never expand. I wrote three DOS programs that enhanced it (that I still have: they were written in Turbo Pascal):

DLOAD.EXE

This created a new version of the pseudo-binary file that MS Word understood and let you install new fonts or new point sizes. It meant that Word “knew” what new fonts and point sizes were available for a document.

DOWN.EXE

This was a drop-in replacement for the DOWN.EXE that came with MS Word. Every time you printed a document, Word would call it to send soft fonts to the printer. I found that even if you used DLOAD to install fonts that Word would subsequently know about, their version of DOWN.EXE would refuse to use them. I had to reverse-engineer the communication between MS Word proper and DOWN.EXE and write a replacement that was more capable.

ALTER.EXE

This let you create new variants of existing fonts (HP LaserJet fonts were bitmap fonts created at specific point sizes; they weren’t, for example, PostScript fonts that used mathematical Bézier curves that could apply to any point size). You could:

- Slant any font by a specified angle in the range -45 to +45 degrees
- Scale a font up or down
- Scan the edges of every character in a font and create a hollow “outline” version
- Let you graphically touch up any character in a font (this was important if you scaled a font up since the result would be pixelated)
- Convert Mouse Systems PC Paint fonts to HP format, making even more fonts available for our printer

As a side node, at that time I had a part-time job writing software at a local printing company. I’ve had to delve into PostScript — the page-description language as well as PS fonts — to an insane degree. I even wrote a PostScript emulator of sorts that rendered pages to screen. I’m very well aware of how “modern” fonts work. One of the things they had me do was develop in-house software that turned PostScript files meant for a “one-page-at-a-time” printer to PS files that could image entire printing plates at a time, complete with color separation, registration marks, etc. Total printing-house geek stuff.

Getting back to my MS Word 4.0 enhancement suite, it meant my dad could create professional documents for Boeing using any font he wished if he could get his hands on it and I could create any point size he needed with some touch-up effort. Also, if it was a sans serif font (e.g. Helvetica), I could use ALTER.EXE to create a slanted italic version automatically.

Why do I mention all of this? Knowing what I know now I could do a lot with DOS. I have Borland Pascal 7.0, ***and*** a fully licensed copy of IDA Pro 6 ***PLUS*** its decompiler (not pirated; it cost me $2500 USD — I used it to port Windows XP security patches to Windows 2000 for five years after Win2k was EOL’ed in 2010 — see the Win2k forums on MSFN.org and look for WildBill’s thread).

A lot of people complain (rightly so, in my opinion) about a lot of things, such as the crazy complexity in computing, privacy issues, malware issues, and so on. Knowing what I know now (as opposed to when I was 19 in 1989), I could enhance the hell out of the DOS experience. Maybe we could all do with a shot of good-old simplicity and sanity in our day-to-day computing.

One other side note: I got so tired of patching Windows 2000’s KERNEL32.EXE (from backporting Windows XP security patches to it) that I eventually knuckled down and used Ida Pro to FULLY reverse-engineer the entire executable and rewrite it in C from scratch in Visual Studio 2005 (finding and fixing no end of bugs in the process and making a vastly more robust version, as my training in the defense industry compelled me to do). That’s also in my WildBill thread on MSFN.org. The point is that if I need to reverse-engineer something to enhance our DOS experience, it’s something I’m very well used to doing (I used to get grief at Boeing for reverse-engineering stuff just for the heck of it — to me, reverse-engineering is a fun mental exercise).

Boeing still uses Ada, for good reason: human lives depend on flight-control software having no defects. Now that I’ve rewritten Windows 2000’s KERNEL32.EXE in C, I’m sorely tempted to convert it to Ada.

Windows should have been written in Ada from day one, and nothing else.
