Since that is the case, I think we should go with a venue / activity that requires little planning, commitment, and general hoopla.
My thought is that we meet at a restaurant on Saturday the 11th for happy hour drinks and appetizers and have our traveling companions meet an another restaurant nearby for the same so that they can, in all honesty, talk behind our backs about how crazy we are and get that out of their system before joining our group for dinner.
We can then all meet at one of the two restaurants for dinner or a third restaurant for a lingering dinner/dessert thing.
I am thinking the dinner restaurant should be one with a large menu, nice atmosphere, and a table area to accommodate 18 or so people. It should also be casual enough that people do not have to dress up.
I leave it to Defconw to figure out the best places since she and her husband are the only ones of us who have experienced the restaurants in the area and know what good restaurants are near each other. I don’t think she should tell us the names until it gets closer to the event and should then only freepmail them to us.
Let me know what you think. Also, you will need to post on this board issues you might have with mobility, either in terms of needing places that are wheelchair accessible or places that allow the parking of an RV or the need to drive your RV to someplace and park it and get picked up there by one of us and taken to the restaurant.

I like the basic plan. Don’t know if the spouse/guests need a separate gathering initially or not, but I am not well versed at such things. The 11th is the Friday, when most would arrive.
Getting a nice view of the scenery in the area might be a part of the agenda during the weekend, but we needn’t pack the schedule too tight.
